Description

The Academic Program Manager serves as a liaison, administrator, collaborator and trusted thought partner within academic affairs, providing exemplary communication, service and support necessary for ensuring effective governance at the College. The Academic Program Manager will work closely with the Provost and Dean of the College, the Speaker of the Faculty, Faculty Governance Committee Chairs and ad hoc committees, and act as a partner in moving initiatives forward. The Academic Program Manager provides evidence of excellent writing, research, and project management skills and ensures that the Office of the Provost and various academic committees maintain compliance, fair conduct, and transparency.Key Responsibilities:

Providing project management support for the Speaker of the Faculty and Committee Chairs:

  • Organize work flows for the speaker of faculty and for the various faculty governance committee chairs
  • Create structured agendas for committee meetings
  • Provide research for the speaker of the faculty and committee chairs, including best practices at peer schools.
  • Schedule and attend meetings of the Academic Priorities Committee, Academic Governance Council, and Faculty Assembly.
  • Provide support for common requirements implementation
  • Maintain the Speaker's calendar and schedule additional governance-related meetings.
  • Prepare draft communications (e.g., Faculty Assembly emails), motions, and other documents.
  • Assist with organization and archive of materials (minutes, motions, etc.) related to proceedings of the Academic Governance Council and Faculty Assembly.

    Maintaining Statutes of Faculty, Faculty Handbook, and other required governance materials:

  • Ensure that Statute change documents are appropriately formatted and that motions are written correctly in accordance with agendas for meetings of the Academic Governance Council and Faculty Assembly; prepare electronic ballots and assist the Speaker of the Faculty with email notifications to faculty; prepare ballot results for review and validation by the Committee on Nominations and Elections; prepare documents for review and approval by the Board of Trustees; ensure that the statutes are updated and that the Statute change history is documented.
  • Create a standardized format for policies in the Faculty Handbook and ensure that these policies are updated and periodically reviewed as appropriate.
  • Archive governance materials (e.g., Faculty Assembly motions, minutes, statute changes). Assisting with management of other projects within the Office of the Provost: assist with scheduling and logistics for the Celebration of Faculty Scholarship and other annual events. Assist with scheduling and logistics for the Academic Conference.
  • Maintain electronic Faculty Assembly resources across multiple platforms.

    Assisting Committee on Nominations and Elections with elections for Speaker of the Faculty; Faculty and College councils and committees: Recorder of the Faculty and assisting other faculty governance elective faculty committees.

  • Prepare electronic ballots, assist the Committee on Nominations and Elections with emailnotifications to faculty, prepare ballot results for review and approval, and collaborate with ITS staff as needed.
  • Prepare Statute Change ballots, prepare ballot results for review and validation by the CNE
  • Provide scheduling for and assist with organization and archive of materials for other elective faculty committees as needed

    Maintaining policies for the Office of the Provost:

  • Update policies on the College policy page.
  • Document, maintain, and update internal office policies and procedures.
  • Distribute policy and procedure documents as appropriate and ensure that they are easily accessible to faculty and staff.
  • Request, receive, and archive annual reports for departments, programs, offices, and committees.

    Minimum Qualifications and Characteristics

  • Bachelor's Degree required
  • 5+ years experience in a higher education administrative setting
  • Ability to build and engage an active intellectual community, building partnerships across disciplines
  • Ability to work independently, to prioritize work appropriately, and to work collaboratively withmultiple stakeholders
  • Must have a strong commitment to maintaining confidentiality and discretion
  • Ability to anticipate and embrace change; demonstrate a willingness to achieve, acquire, and utilizenew skills and challenging tasks; and is flexible in changing conditions
  • Must have strong project management and computer skills
  • High energy and excellent interpersonal skills
  • Ability to think analytically and to interpret complex regulations and policies
  • Detail-oriented with excellent organizational skills
  • Ability to maintain a high level of productivity while maintaining accuracy and attention to detail

    Additional information:This is a full time exempt level position. The College is committed to providing competitive market pay for its employees. The salary range for this positin is $61,000-$68,360. The College also offers a competitive benefits package for full-time staff, including:
