Position Summary: Reporting to a Human Resources Manager, the Human Resources Assistant is a customer-centric role primarily responsible for supporting the Office of Human Resources and its overall day-to-day responsibilities, duties & and special projects/events. Serves as the first point of contact, receives all inquiries and requests for information, and maintains a welcoming environment for staff, faculty, students, prospective employees, and visitors. Supports higher level HR positions and functions by processing documents, triaging customer contacts (front desk, phone, and e-mail), and providing HR administrative support for projects and initiatives. May provide direct administrative support to Human Resources Generalists or Human Resources Managers, including support with vendors and contracts, budget processes, office supplies, and events.
Distinguishing Characteristics: Position of the class perform skilled and para-professional services in a broad range of campus-based human resources areas which can include employment, benefits administration, affirmative action, fair employment practices, personnel records management, training administration, payroll management and general administrative assistance. These positions are distinguished from clerical support positions by virtue of involvement in personnel practices such as employment or benefits administration where decisions and actions can have a material effect on present and potential staff members.
Example of Job Duties: Under the direction of the Human Resources Manager theHuman Resources Assistant is responsible for supporting the Office of Human Resources and its overall day-to-day responsibilities, duties & and special projects/events through effective performance in these essential duties:
Provide day-to-day administrative support for the Office of Human Resources.
Greet all visitors to the Office of Human Resources. Receive all incoming phone calls, and e-mails, as well as in- person inquiries.
Route and escalate issues to appropriate HR team members.
Perform initial on boarding for new and returning staff and faculty including coordination of nomination forms and contracts. Conduct orientation for new staff members in such areas as completion of required forms, explaining CSCU policies, benefits, payroll information and timecard process.
Provide general administrative services such as producing reports on employment and benefits, assisting in the publication of human resources announcements, responding to public inquiries about employment with the community college, assisting in arranging for in-service staff training and additional duties as needed.
Facilitate completion of Form I-9 Employment Verification requirements for all new employees and student workers and employment verification requests for current employees.
Create and maintain accurate HR files, records, and documentation (hard and soft copies). This includes such tasks as creating initial staff records, processing forms for changes in staff information, assuring the proper security of employee information Ensures all records, files and folders are maintained, updated and digitized, where applicable.
Assist in the coordination of activities and events, meetings, training, and surveys as well as any support needed during the activities or events. Ensure required staff and materials are available and prepared for events or activities. Attend staff meetings.
Assist in interpreting, administering and ensuring compliance with human resources, employment and equal opportunity laws, regulations, policies and procedures.
Provide assistance to employees in areas such as leaves (e.g., family, medical, military), and tuition reimbursement. Coordinate/distribute tuition waivers and other HR related forms.
May serve on human resources project teams involving the conduct of best practice research and the development and implementation of new systems, training initiatives and other projects with statewide impact.
Track of Special Appointments, any other contractual accruals.
Assist with Request to Fill (RTF) forms.
Run EPMs/STARS reports and look up information in CORE-CT.
May serve as a lead and provide direction to student workers.
May take direction from and provide direct administrative support to the HR Generalists or HR Managers.

Incumbents must possess proven ability to effectively work with culturally, linguistically, and ethnically diverse faculty, staff, and students. They are expected to have excellent oral and written communication skills along with strong Information technology literacy skills such as Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams etc.).
Minimum Qualifications: Associate's degree in an appropriately related field together with two years of related experience; or a combination of education, training and experience which would lead to the competencies required for the successful performance of the position's essential duties.
Incumbents are required to have demonstrated advanced knowledge and abilities in the following:
Demonstrated ability to understand and apply human resources policies and procedures in a way that meets legal and regulatory requirements and that supports the community colleges' management in their objective of recruiting and retaining appropriately qualified staff and providing effective administration of sound human resource management programs.
Preferred Qualifications:
Knowledge and experience with Core-CT or similar Human Resources Information System (HRIS).
Experience working in a higher education environment.
Starting Salary: $62,829 to $78,535 (midpoint) approximate annual plus excellent State of CT medical insurance, retirement, and related fringe benefits. The salary will be based on the selected candidate's qualifications such as education and job-related experience, and internal equity.
