Job Summary:
Bucknell University departments of East Asian Studies and Spanish is seeking an Academic Assistant to support both departments. The Academic Assistant manages administrative functions essential to the departments' operations, and oversees tasks such as budgeting, purchasing and expense tracking while ensuring timely updates to course schedules and catalogs. This position provides logistical support for events, meetings, and projects and serves as a liaison between faculty, students and external partners, addressing inquiries and maintaining clear communication. The Academic Assistant manages sensitive and confidential information, and ensures compliance with institutional policies. The Academic Assistant may supervise student workers and coordinate hiring processes for faculty and staff roles. This position is a full-time, non-exempt, benefits-eligible staff position. Work hours will be 46 weeks at 35 hours/week, and 6 weeks at 17.5 hours/week (during summer), for a total of 1715 hours annually.
Job Duties:
Essential Functions
- Provides comprehensive administrative support to faculty, staff, and students, including managing correspondence, preparing documents, and coordinating schedules.
- Executes departmental events, meetings, and special projects.
- Handles logistics, communication, and follow-up to ensure successful execution.
- Maintains departmental budgets, processes purchase orders, tracks expenditures, and reconciles accounts to ensure financial accuracy and adherence to guidelines.
- Updates course schedules, manages catalog changes, and collaborates with faculty and the registrar's office to ensure timely and accurate publication.
- Participates in faculty reviews for tenure and promotion.
- Coordinates arrangements for four foreign language teaching assistants each year, in collaboration with the departments of housing, payroll, admissions, international student services, etc.
- Interacts frequently with international faculty, students and guests with strong cultural awareness.
- Serves as a resource for students and faculty by addressing inquiries, coordinating student hires, and supporting departmental activities and goals.
- Maintains sensitive and confidential records related to students, faculty, and departmental activities while ensuring compliance with institutional policies.

- Project/Program/Service Management: Ability to coordinate and administer program/project activities and protocols. Ability to manage resources, monitor activities, and assess risks and quality issues associated with the program/project.
- Written and Oral Communications: Ability to present information to individuals or groups; ability to deliver presentations suited to the characteristics and needs of the audience. Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution's strategic objectives.
- Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software.
- Other: Ability to positively interact with a wide range of individuals and demonstrates skill in customer service. Ability to anticipate and solve problems, and ensure tasks are completed on time.
Minimum Qualifications;
- High school diploma or GED
- Two (2) years professional work experience
Preferred Qualifications:
- Four (4) years administrative experience (in higher education preferred); or Associate's degree (Business Administration or related field) AND two (2) years administrative experience, or equivalent combination of experience and education.
Working Environment:
- Office environment; no specific or unusual physical or environmental demands.

17.00-20.00
The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
