Brief Summary of Job Duties:
The Associate Director for Student Programs, Events and Services is responsible for the direction, organization, and implementation of several main program areas within Associated Students including supervision of staff and programming resources. Advises and mentors students and staff in programmatic areas including Program Board and Committees and Commissions in Associated Students needing mentoring in the production of events Assesses training needs and develops curriculum and training modules to ensure that students engaged in the co-curricular activities as either student employees or leaders are provided with learning opportunities that enhance their education experience at UCSB. Primary advising responsibility with Program Board for the Associated Students Department involves overseeing the development, operation, presentation, and/or supervision of all AS Program Board student related multi-function programs and events including full programmatic responsibility for complex campus-wide activities. Secondary and tertiary advising responsibility for entities as needed particularly AS funded groups on event planning and execution of campus wide events. Determines long-range planning, purchasing, expenditure control and equipment security within programming areas. Responsibilities include but are not limited to advising AS funded groups on event planning, budget control, policy development, long-range program development, planning, promotion and implementation of programs and events, and interpreting University and AS policies and procedures.
Required Qualifications:
- Bachelor's degree in related area and / or equivalent experience / training
- 1-3 years Experience in campus activities.
- 1-3 years Experience in professional event management.
- Advanced ability to develop original ideas to solve problems.
- Advanced abilities in project management, problem identification and reasoning skills.
- Advanced skills in all aspects of event planning and production including working with contracted Artists and Agents.
- Experience and/or education in developing and fulfilling legally responsible agreements/contracts and/or MOUs.
- Excellent organizational, analytical and problem solving skills to independently coordinate all details of a musical and university events/projects ensuring that all deadlines are met.
Preferred Qualifications:
- Master's Degree
- 4-6 years Experience in higher education, campus activities, or related experience producing events.
- 4-6 years Experience working with the Entertainment industry
- Advanced knowledge of Student Affairs/Student Activities specialization.
- Strong organizational skills and ability to multi-task within demanding timeframes.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
- Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.
Special Conditions of Employment:
The position requires the utilization of advanced advising, communication and problem-solving skills in fulfilling the assigned tasks. Must be willing to accommodate an irregular work schedule-evening and weekend hours required. Must tolerate loud noise levels and working with the public in crowd control situations. Often operates under time pressures and in a stressful environment. Excellent verbal and written skills as well as the ability to interpret and analyze technical (entertainment) contracts required.
This position requires patience, the ability to plan, organize and direct students and staff, a high energy level, and the mental capacity to focus on multiple issues and programs. Master's Degree in Student Personnel administration or a related field preferred. Experience working with the Entertainment industry preferred.

Job Functions and Percentages of Time:
50% Management - Serves as part of the A.S. senior managers group. Participates in goal development, strategic planning, crisis prevention, problem solving and advising as part of the management group. In conjunction with the Unit Director and other Assistant Directors, provides leadership for the Student Programs unit through the development and implementation of short and long term goals. Participates in long range departmental planning including capital, budgetary, and staffing concerns. Serve as primary resource for legal issues as they pertain to contracts, particularly entertainment and facility contracts. Negotiate and review complex entertainment contracts, performance agreements and vendor agreements on a daily basis. Ensures University requirements are met in regards to insurance coverage for events and monitors contracts and insurance certificates for various service providers. Keeps abreast of contract, risk and liability issues for the department and university campus. Oversees contractual relationships with off campus vendors including ensuring that AS follows all policies and procedures that may be required by the local community (e.g., Isla Vista Park and Recreation district), the city, county or the University. Responsible for monitoring and tracking budget areas which receive funding from many different sources; track expenditures and receipts as the relate to each unique area. Oversee annual budgets over $1,500,000 and ASPB Capital Reserves. Tracks income from variety of sources including student fees, ticket sales, vendor revenue, and sponsorships. Monitor and approve AS budget transactions for all groups within advisement area. Ensure that budget requests are timely and follow AS policies. Responsible for long-range budgetary planning for capital items including sound and light equipment, building programs, and other capital expenditures. Serve as representative to the Major Events Committee and as an advisor for the Ucen Governance Board, Ecen Governance Board, and other University committees as assigned. Serves as Associated Students liaison with University Departments integral to programming. These departments include but are not limited to: University Police and CSO's, Environmental Health and Safety, Fire Marshall, University Center Administration, Events Center Administration, Facilities Management, Central Stores, Transportation Services, Office of Student Life, Physical Activities and Recreation, Parking Services, and Public Events.
15% Program Administration & Education - Independent responsibility for development and implementation of a wide variety of program offerings to promote student involvement and enhance student educational experiences. These programs are characterized by creativity, timeliness and opportunity for student input and involvement. Works across functional teams to develop leadership programs and co-facilitate workshops in leadership skills, orientation or other training initiatives. Works with the Assistant Director for Government Affairs to assess training needs of the annually elected student leadership and develop orientation programs to meet the needs of these students. Independently explores and develops new programs to augment existing opportunities for UCSB students such as training in event management, event safety, or volunteer management. Codifies experiential learning opportunities for students involved, measures success and recommends refinement based on results.
20% Student Development and Advising - Acts as primary advisor for A.S. student Boards, Committees and Commissions throughout the organization whose main mission is to produce events or affect student life in the areas of equity, housing, legal resources, safety and well-being. Primary Boards and committees include Program Board, Womyn's Commission and Take Back the Night. Secondary advisor for CODE, COSWB, IVTU, Rally Commission and others as needed, in particular for event planning. Mentors case management issues for the Office of the Student Advocate. Serves as the primary advisor for AS Program Board. Supervises the ASPB Program Advisor and ASPB student leaders in developing and implementing robust programming plans that support the various areas within ASPB: Films, Cultural Arts and Lectures, Special Events, Concerts, Marketing, Leadership and the Volunteer Program as well as other ASPB initiatives. Oversee Large-scale campus events (12,000 students) to small-scale events and ensures campus procedures and policies are followed. Provides recommendations, reports, and metrics on the feasibility of new and current programs and initiatives. Meets with student groups on a regular basis to discuss event/program production, coordination, evaluation, negotiations, contracts, technical requirements, and other appropriate resources. Trains and advises student participants on setting realistic goals, planning organizing, event staffing, leadership and budgeting. Provide a positive learning environment for the experiential growth of student participants. Advises and assists boards, committees and individuals in the development of programs and actions necessary to achieve their programmatic goals. Informs students of A.S. and University policies and procedures. Research issues pertaining to each functional area and develop new procedures and programs as appropriate. Oversees planning, budgeting, program implementation, event evaluation and University regulations (including the dissemination and compliance with Health and Safety regulations) and pertinent A.S. policies and procedures for each group within the advisement area. Provides workshops on and/or facilitates speakers covering student development through training in areas including leadership and group dynamics, communication skills, motivation techniques, contract negotiations, project coordination and other topics of interest as needed. Trains Programmers to facilitate workshops. Provides Program Board with appropriate training in event production and evaluation, contract negotiations, advertising, ticket management, support staff and artist stage requirements for all programs and events. Attends weekly Program Board meetings. Attends Program Board events, especially those where complexity, size, and scope are potentially troublesome. Mediate conflicts that emerge and facilitate communication among students and staff members. Students may have conflicts with each other, the university, local, state and/or national government. Guide students toward the achievement of their goals utilizing available resources and encouraging respectful dialog. Monitor the management of the annual campus-wide Extravaganza festival held in May. Extravaganza is a complex multi-function event drawing in excess of 10,000 from the campus. Oversee festival budget including expense and income projections for ancillary event operations such as vendors, T-shirt merchandising and program advertising.
15% Supervision - Supervise student clerical and leadership student staff. Develops, encourages, and monitors professional growth and staff development of professional staff, student staff, and student volunteers (Currently 1FTE, 15 student leadership staff, 3 student office staff, and approximately 60 student volunteers). Direct supervision of AS Program Advisor with responsibility for professional development, training, and evaluation. Indirect supervision of the event and production student staff in ASPB; including setting strategic goals; long range plans and keeping updated on AS and University Policies and procedures. Hires trains and supervises the student office, production and security staff. Guides staff in setting priorities, evaluating progress, setting goals, developing long range plans, understanding AS and University Policies and procedures, recommends professional development opportunities and conducts performance evaluations. Oversee payroll activities for student and career staff supervised. Supervise student event staff and reception staff, Oversee recruitment, hiring and training process. Keep abreast of training needs for wide variety of student positions including office staff, security staff, production and sound staff, and marketing staff. Oversee student volunteers in a variety of capacities within the organization.
